LGM is a leading insurance provider serving the Canadian automotive industry. They are headquartered in Vancouver, BC, with two other Canadian offices in Saint Laurent and Oakville. The company has experienced tremendous growth in the past years and has been recognized for several awards, including Canada’s Fastest-Growing Companies, for nine consecutive years.

Challenges:

LGM engaged with the Pivvot process to align leadership views on remote work and to help draft their hybrid work policy. They were most concerned with a potential culture erosion with continued remote work. Therefore, they needed a process to craft a work arrangement that balances their company values and their employer and employee needs.

The Process:

Leadership Alignment

After a series of interviews with their top executives, they all concluded that some physical presence has to be maintained by all staff at LGM. Therefore, they adopted the hybrid work model, with bookable workstations and more collaborative meeting spaces.

Staff Assessment

Next, we carried out a thorough staff assessment to identify each worker’s persona based on factors like their role, preferred work style, commute time, and job demands. The survey had a 98% response rate, cutting across all departments at LGM.

Personas & Scenario Planning
After the Pivvot staff assessment process, the results revealed that over half of employees were predicted to work out of the office in a hybrid fashion – only coming in as required. Most others will be working remotely, while 5% will be in the office full time. About 75% of employees will likely be agile – working out of bookable spaces as needed, while the rest will prefer to have their own desk. Their staff also expressed that in designing a new workplace arrangement, they value workplace flexibility and wellness the most.

With this data, LGM was able to predict staff needs for each department for strategic planning purposes.

Results

In the end, the company was able to reallocate office space based on staff persona. The data from scenario planning was used to allocate private offices and workstations from persona ratios. By engaging with the Pivvot process, LGM liberated 40% of their office space to be put to better use.
